What if my plans change?
If you are no longer able to attend, please notify the Planning Team so we can update our records and release your room if necessary. You can reach us at convention@charitytab.org.

Registration & Confirmation
What is the difference between pre-registration and official registration?
Pre-registration was used to help us estimate attendance. It does not secure your attendance or hotel room. Only the official registration confirms your participation and begins the hotel assignment process.
How do I know if my registration is complete?
Your registration is considered complete once you have submitted the official registration form and your deposit has been successfully processed. If you are unsure whether your registration is finalized, please contact the Planning Team and we will gladly confirm for you.
Is a deposit required?
Yes. A deposit is required to secure your hotel reservation. Reservations are not guaranteed without a completed and successful deposit payment.
What happens if my credit card is declined?
If the payment does not go through, the reservation is not secured. You will need to complete the payment successfully in order to confirm your room. We recommend verifying your payment details before submitting.
What if I accidentally made duplicate reservations?
If you believe you registered more than once or used different email addresses, please contact us as soon as possible. We will review the reservations and process any necessary corrections or refunds.
Hotel & Room Assignments
How are hotels assigned?
Rooms are assigned by the Planning Team based on availability. Once the main hotel reached capacity, additional reservations were placed in the overflow hotel. Assignments are made carefully to ensure accommodations for everyone.
Is the hotel room rate per person or by room?
The hotel rate is per room, not per person. For current room rates, please refer to the registration form.
Each room accommodates up to four individuals plus one infant. The rate remains the same regardless of whether the room is occupied by one person or up to four guests.
Will I receive a hotel booking link?
No. After coordinating with the hotel management, the hotel requested that the Planning Team manage all reservations directly. Instead of receiving a booking link, you will receive an email from us with your hotel reservation number. That number will be used at check-in.
When will I receive my hotel confirmation number?
Reservation numbers will be sent in batches over the coming months. This allows us to process reservations accurately and coordinate directly with the hotels. Please allow time for this communication.
Can I make changes to my reservation?
Yes. All changes must go through the Planning Team. We kindly encourage everyone to finalize their plans carefully to help minimize frequent changes and ensure a smooth coordination process with the hotels.
Can I share a room with someone?
Yes. Guests are welcome to make their own arrangements to share a room.
If you already know who you would like to share with, please indicate that during registration or contact us so we can place you together on the same reservation.
On the registration form, we ask who is willing to share a room. This helps us identify those who are open to it and assist when possible. However, the Planning Team will not actively match individuals or arrange roommates on anyone's behalf. All coordination must be handled directly between the guests involved. Once arrangements are agreed upon, we are happy to assist with processing the reservation.
What in-room amenities are available at the hotels?
Both hotels offer standard in-room amenities to make your stay comfortable. Each room includes a refrigerator and a coffee maker. Some rooms also include a microwave. If a specific amenity is important to you, please let the Planning Team know and we will do our best to accommodate your request.
Travel & Transportation
Should I submit my flight information?
This is completely optional, but yes, we appreciate receiving your flight information so we can anticipate the hotel check ins for the day. Please keep in mind that we will not be providing transportation from the airport to the hotel. You are welcome to rent a car at Phoenix Sky Harbor or use a Uber/Lyft which could run around $50 per segment from the airport to the hotel.
Meals
Will there be a meal plan?
Yes. A meal plan will be available and will include breakfast and lunch each day of the convention. At this time, there are no plans for a dinner service.
It is important to note that the meal plan is completely separate from your hotel reservation and is not included in the room rate. Participating in the meal plan is entirely optional and will be offered at an additional cost beyond your hotel accommodations. Further details regarding pricing and how to sign up will be shared through email and on this website once finalized.
What dining options are available if I choose not to select the meal plan, or for dinner?
There are over 40 restaurants within walking distance of the hotels, offering a wide variety of cuisine options. Whether you choose not to participate in the meal plan or simply prefer to dine out for breakfast, lunch, or dinner, you will have plenty of choices conveniently accessible without the need for a car.
Do the hotel rooms have a refrigerator, coffee maker, or microwave?
Yes. Both hotels provide a refrigerator and a coffee maker in every room. Some rooms also include a microwave. If having a microwave is important to you, please let the Planning Team know and we will do our best to accommodate your request.
Youth & Activities
Is there a tour planned for Monday?
There is no official tour scheduled for Monday. We are evaluating the possibility of organizing an indoor gathering for the young people at the hotel. Details will be communicated once finalized.
Please keep in mind that August temperatures in Arizona are extremely high, which makes outdoor activities difficult.
Are there any plans for Monday for the adults?
At this time there are no plans for adults on Monday. Everyone is welcome to make plans of their own. You can check the suggested sites that we have under the “What to do in Arizona” section of this site to make your own plans.
Again, be mindful of the high temperatures in Arizona during the months of July and August.
Can we plan our own activities?
Yes. Guests are welcome to make personal plans. Arizona offers many attractions, including well-known destinations such as the Grand Canyon. However, we strongly encourage everyone to consider the summer heat when planning outdoor activities.
